Email and Matrix

These are our main communication channels.

E-Mail

Getting an LMU.de email Malika will submit a ticket with IT to get you an email under the lmu.de domain. Access this mailbox by going to xmail.mwn.de.

Please use emails for important messages to keep in record, or for to-dos that can’t be dealt with immediately.

TipPersonal Email

It’s still fine to communicate with staff through your personal email and for using Google Workspace platforms.

Matrix

Matrix is an open, decentralized protocol for real-time communication. LMU hosts a Matrix server under the name LMU Chat, making it the central messaging platform for all university members. The recommended client app for accessing the LMU Matrix space is called Element — it is available for desktop (Windows, macOS, Linux) and mobile devices (iOS, Android). You can use Element to chat with anyone at LMU, join group rooms, and collaborate across departments.

Matrix is our preferred way for back-and-forth communication, FYIs, or small to-dos that can be dealt with immediately.

For detailed step-by-step instructions on setting up your Matrix account and installing the Element app on your devices, please refer to the official LMU documentation. Once you are set up, use the direct invitation link to join our OSC workspace.

Setting up a Meeting

To find a good time to meet for all invitees, you can use When2Meet or TerminPlaner, depending on whether you want to show entire days or just a few specific time options respectively.

Scheduling a meeting via Zoom:

Here are the steps to schedule a meeting on Zoom.

  1. Sign in to the Zoom desktop app.
  2. At the top of the app, click the Home tab.
  3. Click Schedule

This will open the New event window.

  1. Enter a topic or name for your meeting.
  2. Set the date and time you want to meet.
  3. (Optional) Add invitees by entering their name, email, or phone number. You can also invite others to your meeting after scheduling.
  4. (Optional) Click Settings to choose from additional meeting options.
  5. Click Save to finish scheduling

Once set, please send a calendar invitation with a zoom link (ICS attachment or outlook or Gmail calendar invitation).

Zoom

If you don’t have a Zoom pro account, please request one at the Help Desk. Then contact central IT: it-servicedesk@lmu.de and ask fak11 to add zoom webinar Pro (for Open Science Summer School) so that Malika can add you as an alternative host to the OSC events should she be sick and need you to launch and possibly chair the meeting.

Log in to the Zoom account with the lmu.de email and LRZ SSO credentials to activate it. The company domain is: https://lmu-munich.zoom.us/

Office

The shared office space is in Room 3321. You can open the door to the office with a transponder that Malika will request.

The office also holds important OSC equipment (360 cameras, tripod, microphone, laptop, poster) and access to a printer. The equipment is in the grey locker and can be accessed with the key in Malika’s desk drawer.

TipTransponder Help

If there is an issue with your transponder, you can either request a new one (if available) or visit the „Schliessmedien“-Office at LMU, Geschwister-Scholl-Platz 1, Raum EZ 008.
